Prerequisites for the position:
- Excellent verbal and written communication skills
- Good interpersonal relationship skills for dealing with patients and staff
- Dental scheduling experience preferred
- Computer experience with dental software, word processing program and a spreadsheet program preferred
- Demonstrated knowledge of using a calculator to add, subtract, multiply, divide and do percentages
- Financial arrangement and account follow-up experience preferred
- Insurance processing and follow-up experience preferred
- Two years experience at the front desk preferred
- Associate or Bachelor’s degree in business preferred
The main priorities of this position are to keep the schedules full and productive, to collect 98-100% of the production and to make effective financial arrangements within the guidelines of the office financial policy.
A description of the minimum responsibilities of this position are:
- Answer the phone and greet patients in a warm, friendly manner.
- Schedule each provider to meet or exceed daily goals while keeping the schedules full and productive.
- Maintain treatment tracking system and utilize the system daily to fill last minute openings.
- In charge of the recare system, assign daily recare activities to team members with downtime.
- Pull charts, generate routing slips and confirm patients.
- Monitor daily collection, production and dollars scheduled.
- File all insurance daily.
- Make financial arrangements and follow-up on outstanding accounts.
- Create daily deposit slip.
- Daily billing of unpaid insurance balances.
- Weekly billing of unpaid balances on a 21 day cycle.
- Generate monthly reports.
- Order front desk supplies.
- Handle patient complaints.
- Send marketing letters, new patient packages and other office correspondences.
- Participate in practice marketing programs.
- Attendance at and participation in:
- daily huddles and staff meetings
- practice management meetings as required
- CE courses required by the doctor
- Routine clean-up of any area of the office including reception area, front desk and patient bathroom
Position details:
- Pay for this position will be bi-weekly.
- Hours are as set by the schedule, however some deviations may occur and will be identified prior.
- Starting time is 20 minutes before the first scheduled appointment time.
- Ending time is after cleanup from the last patient of the day.
- Office uniforms and/or a neat professional appearance are required.
Sick time, vacation, and holidays are as defined in the office Policies and Procedures Manual.
